How Finance Email Assistant actually works
- Find the finance emailsIt checks the one Gmail mailbox you picked at hire, and only that one. Each email is claimed by its message ID before anything happens, so a request never gets answered twice. Out of the box it looks every two hours; you can set it to hourly, daily, manual, or only when something triggers it.
- Read the whole requestThe full thread, not just the last message. It works out the precise figure, record or document being asked for, which is usually not the thing the subject line says.
- Prove it, or don’t answer itThe answer has to come out of the sources you selected — your accounting app, Stripe, a Drive folder, a Sheet, or a file you assign it. Up to six. It keeps the source and the reporting period attached to the number, so the reply says where the figure came from.
- Prepare or send the replyFactual, in the same thread, with the evidence behind it. What happens at that point is the Control setting you chose: it can stop at a draft, wait for your approval, or send within the limits you gave it. Either way you get a Result called Finance email reply carrying the mailbox, the recipient, the subject, the evidence used and the outcome.
- Stay with the conversationWhen the accountant replies, it continues the same thread — it does not start a new one — until the question is answered or it hands you one precise missing item.
What it will not do
- Give accounting or tax advice, or answer anything needing professional judgement
- Create or change a financial record, in LoopSuite or in a connected app
- Move money, pay a bill or take a payment
- Quote a figure it cannot trace to a source you selected
- Attach a file it has not verified
- Reach anything outside the one mailbox and the sources you ticked
Sending a reply inside the thread it is already working is the only thing this employee is permitted to do outside LoopSuite. It cannot post, book, invoice, quote, raise a payment link or spend. How much of that reply it handles alone is your call, set per employee when you hire it — Prepare drafts only, Ask me each time, Work on its own within this job, or Check and report only. What you connect
Two things, both required, both chosen by you at hire. First, one Gmail mailbox — the finance one, not your personal one. Gmail is the only mailbox route this employee has; Outlook is not connected to LoopSuite. Second, the evidence it is allowed to answer from: QuickBooks, Stripe, a Google Drive folder, a Google Sheet, or a file you upload and assign it. Up to six.
There is no version of this job that works without a connected mailbox. A draft written in isolation is not a resolved finance email, and we would rather say so than let you find out after setup.
Who it’s for
Anyone whose accountant emails them for figures, and that lands hardest inside the Construction Industry Scheme. CIS runs wider than most people expect — building work, alterations, repairs, decorating, groundwork, landscaping, demolition, and installing heating, lighting, air conditioning and CCTV. Questions people ask
Which email accounts does it work with?
Gmail, and one mailbox. You pick which one when you hire it, and it never opens another. Outlook is not connected to LoopSuite, so it cannot work an Outlook mailbox.
Where do the figures come from?
Only from what you select when you hire it: QuickBooks, Stripe, a Google Drive folder, a Google Sheet, or a file you assign it. Up to six sources. It reads nothing you have not ticked, and it will not answer from anything else.
Does it read Xero?
No. Xero is named in the app’s list of finance sources, but the Xero connection itself is not live in LoopSuite, so there is nothing to select. QuickBooks, Stripe, Google Drive and Google Sheets are connected today.
Will it send a reply without asking me?
That is your decision, and you make it per employee when you hire it. The four Control settings are Prepare drafts only, Ask me each time, Work on its own within this job, and Check and report only. This employee arrives set to Ask me each time.
What happens when it cannot prove the answer?
It stops and asks you for the one thing missing — a document, a figure or a reporting period — rather than sending a guess. That arrives as a Needs You item, and the thread waits.
Can it do my tax return or tell me what I owe?
No. Nothing it writes is accounting or tax advice, and it hands over any request that needs professional judgement. If you want the records gathered for your accountant instead, that is a different employee: Accountant Pack Preparer.
