Team Rooms Community Guidelines

Team Rooms are private workplace collaboration spaces. These Guidelines apply to messages, mentions, replies, reactions, supported attachments, room names and topics, Manager responses, proposed decisions, proposed tasks, proposed memory, and other content shared or generated in a Team Room. They form part of the LoopSuite Terms of Service.

Use Team Rooms for lawful workplace collaboration

Be accurate about who you are, respect the people in the room, and share only information you have a lawful business reason and authority to share. Keep account credentials, private keys, payment-card details, unnecessary sensitive personal information, and content that other room members are not authorised to see out of Team Rooms.

Content that is not allowed

Do not post, request, encourage, or distribute content that:

AI content and authority

Manager and AI-employee output can be wrong, incomplete, outdated, or unsuitable. AI output does not become a vote, approval, signature, professional opinion, or business authority. A human with the appropriate role remains responsible for decisions and external actions. Do not use Team Rooms to seek or provide unqualified medical, legal, financial, employment, safety-critical, or other regulated advice.

Report content or a participant

Use the in-app report action to report a staff message, a participant, or a Manager response. Choose the closest reason and add only the detail needed for review. Reports create a private safety record; they are not shown as public room messages. Do not make knowingly false reports or retaliate against a good-faith reporter.

If an in-app report action is unavailable, email [email protected] with the account, room, approximate time, and reason. Do not repeat unnecessary sensitive content in email.

Block a participant

A participant may block another account member. Blocking hides the blocked pair's content from the blocker, suppresses related room notifications and pauses room-wide Manager processing while both people remain active in that room. Blocking does not remove either person from the company account, transfer room ownership, or remove moderator authority. A block can be reversed in the app.

Moderation and platform safety

Eligible account owners, admins, and current room moderators can review reports for rooms within their authority, except where they are the reporter or reported subject. LoopSuite platform-safety reviewers can review reports across accounts through a separate least-privilege queue without general account impersonation. Evidence access and resolution actions are audited. Urgent safety reports are prioritised, but LoopSuite does not promise a fixed review time.

Reviewers may resolve or dismiss a report, remove a reported message, remove a participant from a custom room, or escalate the report. Everyone-room membership follows active company membership, so a room moderator cannot remove one person from Everyone without a separate account-membership decision. LoopSuite may restrict content, features, accounts, or access, preserve bounded safety evidence, or contact an account owner or relevant authority where appropriate.

Automated filtering and attachments

LoopSuite checks new Team Room human text and Manager output before it becomes visible. Clearly objectionable content is not posted. If the safety check is unavailable, nothing is posted. New Team Room uploads are limited to file types and sizes that the service can check in full before visibility; unsupported, oversized or unreadable files are rejected.

The supported Team Room attachment types are:

Privacy and retention

Safety reports store identifiers, reason, optional note, timestamps, an evidence hash, and a bounded report-time excerpt or metadata snapshot needed for review. They do not copy an entire room or retain attachment bytes in the report. Raw or excerpted report evidence is retained while a report is open and for no more than 30 days after resolution. Body-free safety operation and audit metadata may be retained for up to 365 days. Account deletion removes account-owned safety records, subject to ordinary backup and legal requirements described in the Privacy Policy.

Acceptance

Before posting under the activated Team Rooms policy, each participant must accept this exact statement:

I agree to the LoopSuite Terms and Team Rooms Community Guidelines. I will use Team Rooms only for lawful workplace collaboration, respect other participants, and report abusive, unsafe or inappropriate content.
