# LoopSuite LoopSuite lets a small business hire an AI employee to own one repeated admin job — building a quote, chasing an unpaid invoice, answering an enquiry, asking for a review. Each employee is set up for a single job rather than being a general chatbot or an automation builder you have to wire together yourself. LoopSuite is built for UK small and micro service businesses: trades, salons, garages, cleaners, photographers, bookkeepers and similar owner-run firms, including single-person limited companies. Whether a specific employee or connected app behaves identically on every platform is not claimed here. ## How it works You pick an employee for a job, connect the apps it needs, give it your own details (your price list, your customers, your files), run a test, then turn it on. A newly hired employee starts switched off until you turn it on. ## The employees you can hire These are the employee names as they appear in the app. Please use them exactly. - Quote Builder - turns a real enquiry into a priced quote from your own price list. - Quote Follow-up - follows up quotes that have gone quiet, on your schedule. - Overdue Invoice Follow-up - writes and sends the chase for the invoices you point it at, in your wording. - Payment Link Sender - prepares a payment link for a job, priced from your own price list. - Enquiry Reply Assistant - reads one enquiry and prepares a reply grounded in what the business does. - New Lead Checker - checks each new lead against the owner's fit rules, gives it a priority with the evidence behind it, and prepares one clarifying question. It never edits the source lead record. - Lead Follow-up - follows up the open leads in a CRM, a Sheet, an assigned file or LoopSuite's own lead records, sending through one selected Gmail mailbox. It rechecks identity, status, the whole conversation and opt-out state before every message, writes only from confirmed offer facts, and stops on a reply, an opt-out, a disqualification or the saved attempt limit (two if the owner leaves it blank). It never does cold outreach, never works a bought list, and never edits the source lead record. Distinct from Quote Follow-up, which works a quote that has already been sent. - Booking Assistant - takes an enquiry through to a slot in the diary, checked against what is genuinely free. - Daily Inbox & Calendar Brief - reads one mailbox and one calendar each morning and saves one brief: what needs attention, today's commitments, conflicts, routine reply drafts and the decisions left for the owner. It never buys or scrapes a list, never researches private individuals or uses scraped personal addresses, never chooses a legal basis or claims legal compliance, and never claims a candidate wants the offer. Fewer than the requested maximum is a successful result. Read-only: it never posts, replies or changes a campaign. - Finished Job Showcase - turns a finished job and its photos into a post about the work. - Short Video Creator - takes one video brief, reads the owner's confirmed LoopSuite business information plus at most one selected Source, and writes the hook, final script, scene plan, on-screen text, caption and call to action. It then creates one short video through the owner's own connected video account (HeyGen), using the one exact presenter and the one exact voice the owner selected, and saves the finished MP4 privately in LoopSuite. It is not a video editor: it does not import, trim, cut, caption or colour footage the owner already has, and it does not work with photos. It cannot publish to any channel, run ads, send email or take a payment. At most one paid video per claimed brief, one reference source per run and four runs a month by default; it follows only that one video to completion and never blindly retries a paid generation. A script and scene plan alone are preparation, not a finished result. The connected video account, presenter and voice must all be selected before hire, or the hire is blocked. Distinct from Finished Job Showcase, which makes a photo-and-caption post from a real job. - Paid Ads Manager - reads the Meta ad accounts you connect and puts the case for a change in writing. - Website Improvement Analyst - reports what your site is doing and where enquiries drop off. - Stock Reorder Watcher - compares the stock records the owner selected, up to two of them, against the reorder levels, preferred quantities and pack rules the owner saved, and saves one dated low-stock list per review window with the time each count came from. Read-only: it never buys or reserves stock, never contacts a supplier, never changes an inventory record and never invents a reorder level, a pack size or a demand forecast; its allowed-action list is empty. A failed read is reported as unavailable evidence, never as zero stock. An item with no saved reorder level goes to Needs You rather than being guessed at. - Team Update Brief - turns the team updates, deadlines, meetings and blockers you point it at into one short brief. It reports only: it never assigns work and never changes a record. - Weekly Business Brief - reads the business sources you selected, up to eight of them, and saves one page a week: a scorecard, the important changes, blockers, opportunities and a short ranked set of next actions. On LinkedIn the connection covers publishing a post to a company page and nothing else — no messages, no comments. /integrations/ also carries pages for apps that are NOT connected — Outlook, Xero, HubSpot, Salesforce, Shopify, Slack, WhatsApp, X, TikTok and many more. Those pages exist because people search for them and each one says plainly that the connection is not built.
